Acceptable use policy
This policy sets out what Customer and its Authorised Users may and may not do with the SignWorkspace platform. It forms part of the Terms of Service.

1. Prohibited content and conduct
You may not use the Service to create, send, store or request signature of content that:
- is unlawful, fraudulent, deceptive or misrepresents the identity of a sender or signer;
- infringes another person's intellectual property, privacy, publicity or other legal rights;
- contains malicious code, spyware or other harmful components;
- harasses, threatens, defames or incites violence against any person or group;
- facilitates money laundering, terrorist financing, sanctions evasion, or other financial crime;
- constitutes unsolicited bulk communication ("spam") to recipients who have not agreed to receive it; or
- is designed to phish for credentials, payment details or other sensitive information from Signers.
2. Documents not recommended for electronic signature
South African law wholly or partly excludes certain transactions from electronic execution, or imposes formalities that a simple electronic signature cannot satisfy. Without limiting Customer's own legal assessment (see Section 8 of the Terms of Service), Customer should not rely on SignWorkspace, without independent legal advice, for documents such as:
- agreements for the sale or alienation of immovable property;
- long-term leases of immovable property (in excess of 20 years);
- wills, codicils or other testamentary documents;
- bills of exchange and similar negotiable instruments;
- court orders, affidavits and other documents a court or statute requires to be signed, sworn or notarised in a specific physical form.
Equivalent or additional restrictions may apply outside South Africa; Customer is responsible for checking the requirements of any jurisdiction relevant to a document or signer.
3. System abuse
You may not: attempt to gain unauthorised access to the Service, other tenants' data, or underlying infrastructure; probe, scan or test the vulnerability of the Service without prior written permission (see Section 6); interfere with or disrupt the integrity or performance of the Service (including through excessive automated requests); circumvent rate limits, quotas or plan restrictions; or reverse engineer the Service except to the extent expressly permitted by law.
4. Recipient and signer fairness
When sending an Envelope, Customer must: provide Signers with accurate sender identity and document context; use a verification method appropriate to the sensitivity of the transaction; not use the Service to pressure, deceive or rush a Signer into signing; and honour a Signer's right to decline to sign.
5. Verification channels
SMS and WhatsApp one-time-passcode verification must only be sent to phone numbers the sender has a legitimate basis to contact for that Envelope. Do not use these channels to send unrelated marketing or unsolicited messages.
6. Security research
If you wish to test the security of the Service, contact us first at sales@signworkspace.com to agree scope and rules of engagement. Do not access or modify data that is not your own, run automated scanning against production systems without authorisation, or publicly disclose a vulnerability before we have had a reasonable opportunity to remediate it.
7. Enforcement
We may remove content, restrict features, or suspend or terminate access for violations of this policy, in line with the suspension and termination provisions of the Terms of Service. Where reasonably possible and not prohibited by law, we will notify Customer of the reason for action taken.
8. Reporting abuse
To report suspected abuse of the Service, including phishing, fraud or harassment carried out through an Envelope you received, contact sales@signworkspace.com with as much detail as possible (sender, envelope reference, and a description of the concern).
9. Changes to this policy
We may update this policy from time to time; material changes will be notified in line with the Terms of Service.
